Job Introduction
We are looking for an enthusiastic and highly motivated SPA administrator to join our team at HCRG Care Group, based at High Post, Salisbury, Wiltshire!
The post-holder will play a crucial role in delivering an excellent customer experience for patients, carers, and professionals contacting the Single Point of Access (SPA). This is a fast-paced and demanding role that involves handling phone, email, and postal enquiries and acting as the first point of contact for Wiltshire Children’s Community Services and our partner organisations.
This is a 30 hour position working 4 days a week 9am-5pm. During the 3 month probationary period you will be expected to come into our hub for your working days, but there will be opportunitiy for hybrid working afterwards.
Interviews are expected to take place w/c 5th May.
Main Responsibility
Key Responsibilities include:
Screen SPA referrals from GPs, users, parents, carers, and partners.
Direct referrals to professionals and handle incorrect ones.
Follow guidelines and work with clinical staff for timely service.
Prioritise and escalate urgent referrals.
Call referrers for additional info to ensure accurate referrals.
Record referrals and data, ensuring confidentiality.
Provide signposting to HCRG and other services.
Assist with data cleansing.
Book and manage clinical appointments via SystmOne.
Send and reschedule appointment letters.
Update clinical systems and databases.
Order goods and services as needed.
Manage correspondence (emails/letters).
Take meeting minutes as required.
Provide flexible support and assist with additional tasks.

The Ideal Candidate

Essential Skills & Experience:
Previous experience in an administrative or customer service role.
Excellent verbal and written communication skills.
Familiarity with using client information systems and Microsoft Office applications.
The ability to work independently and manage time effectively.
A compassionate and professional approach to handling patient and service user information.
Good general education to at least GCSE level or equivalent, including Maths and English
- Understanding of medical terminology
- Knowledge of clinical systems or databases
There may be a requirement to travel to another Wiltshire base for training
