Job Introduction
We are looking for a receptionist to join our fantastic team in Derby Court!
As a receptionist, you will be a part of the wider business support function and play a key role in providing support to service users and visitors while providing support to frontline clinicians and managers of the Children’s Services in Derby Court.
You will provide administrative and organisation support to a range of colleagues, including booking and managing room bookings for clinicians. You will ensure that high standards of customer service is provided by communicating effectively and appropriately with service users, colleagues, managers and a range of professionals within and outside of the organisation.
The is a part-time opportunity, working 22.5 hours per week, Tuesday to Thursday between the hours of 8:30 and 4:30pm.
Main Responsibility
- Maintain effective communication with line manager to ensure that tasks are prioritised and resourced effectively.
- Ensure that high standards of customer service are provided by communicating effectively and appropriately with service users, colleagues, managers and a range of professionals from within and outside of the organisation.
- Responding and completing daily electronic tasks. Monitoring, sorting and processing incoming/outgoing mail. Use of Franking Machine.
- Booking and managing room bookings for clinicians.
- Booking and managing meeting rooms.
- Working within S1 and sending out reports/letters on behalf of multiple services via IMail.
- Scanning data on to Patient Records
- Producing weekly spreadsheets to identify clinic room booking availability.
- Booking clinic rooms as requested by clinicians.
The Ideal Candidate
We are looking for someone who has the following:
- Excellent communication and personal skills.
- Confident use of IT systems
- Ability to contribute to the changing demands of the service
- Can work with discretion
It would also be desirable if you have sound knowledge of a wide range of office procedures and administration experience.
