Job Introduction

We are looking for an Administrator to be part of a wider business support function. You will have a key role in providing administrative functions and organisational support across the service.

The role is Full Time, Monday - Friday 9am-5pm, but there may be a need for flexibility on working hours.

You will work with the Business Unit head, Head of Community Services and Head of Quality to provide comprehensive administrative support.

Main Responsibility

  • Collating and preparing meeting slides for BU Head, and Head of Community services and Head of Quality.
  • Booking meeting rooms
  • Minute taking for senior meetings.
  • Provide admin support to Head of Quality
  • Provide admin support for Business Service Manager to Include ensuring clinic appts and waiting times are kept up to date.
  • Maintain effective working relationships with colleagues within the organisation, in particular work with managers to ensure timescales for tasks are achieved.
  • Ensure that high standards of customer service are provided by communicating effectively and appropriately with service users, colleagues, managers, and a range of professionals from within and outside of the organisation.
  • Arranging inductions for new members of senior leadership team.
  • Greeting internal and external visitors as appropriate.
  • General office management support in Bickerstaffe House such as dealing with incoming/outgoing post.
  • Preparing, collating, and distributing documentation and other communications ahead of meetings.
  • Use of Emis for clinics, monitoring appointments and data quality.
  • Collating information and maintaining spreadsheets for waiting list management.
  • Assisting with Data collection for service level audits.
  • Assisting with Estates projects and EPRR exercises.
  • Any other ad hoc duties associated with role

The Ideal Candidate

Essential

  • Good general education eg GCSEs or equivalent
  • Computer literate.
  • Good working knowledge of Microsoft Office packages including Outlook, Word, Excel.
  • Accurate and efficient IT and keyboard skills.
  • Effective interpersonal, organisational and communication skills. Ability to

  • Highly organised and process driven.
  • Ability to plan and manage own work load plus manage upwards.
  • Exceptional discretion and maintains the utmost levels of confidentiality.
  • Ability able to manage shifting priorities and deadlines, whilst consistently producing work of a high standard.
