Job Introduction
As an Administrator in the Speech and Language Therapy Team, you will play a key role in delivering high-quality, person-centered care and services to support individuals and teams. Working within a collaborative environment, you will provide essential services tailored to meet the unique needs of those we serve.
Based in Swindon, you will have the flexibility to work within a model that supports both on-site and hybrid working arrangements, depending on the nature of the role. Main Responsibility
• Stock checks and ordering devices for therapist via Swindon Community Equipment Store (SCES)
• Maintaining stock device levels & ensuring devices are available to SLT’s
• Sourcing new devices/suppliers as directed by SLT’s
• Setting up new suppliers with SCES
• To prepare and programme AAC equipment as requested by the SLT, including specialised communication aids, laptops and tablet computers with specialist communication software and apps
• To deal with queries from service users relating to their AAC equipment, troubleshoot any basic problems, liaise with SCES and other equipment suppliers where necessary to arrange repairs
• Create Word Joggers and other low tech communication charts
Admin
• Manage team mailbox
• Manage the team office telephone (queries, messages, referrals)
• Complete morning staff safety checks
• Direct referrals to appropriate community SLT caseload
• Manage incoming post
• Print and post reports/leaflets/appt letters for SLT’s
• Adding Swallow Alerts to Careflow for patients as directed by SLT’s
• Assist the SLT Team to create new SLT Patient Information Leaflets, monitor existing ones and prepare for renewal process as required, liaising with the Patient Advice & Liaison Service (PALS) to arrange peer review
• Scanning SLT assessments/post & adding to patient record’s on S1
• Copying SLT reports from S1 to Careflow
• Order and maintain appropriate levels of stocks of stationary for the Adult SLT service, using the Trust approved suppliers, liaise with the stationary company re deliveries, discrepancies and substitutions. To order other clinical equipment as resources as required

• Collate team feedback
• Participate in monitoring of therapy outcomes, uploading the data to the Royal College of Speech & Language Therapists Online Outcome Tool (ROOT) & distribute quarterly reports as directed by SLT Managers.
• Assist in organising and to participate in the induction of a new team members.
• Carry out assigned tasks to support qualified SLT staff and to assist as required such as providing accurate and timely information regarding caseload pressures, collating outcome measures, operating databases and other clinical administrative tasks.

The Ideal Candidate
• Educated to GCSE level in English and Maths or overseas equivalent qualifications.
• Relevant level 2 NVQ or equivalent knowledge/experience.
• Demonstrates evidence of on-going continuous personal development
• Recent intermediate IT skills.
• Experience of working within a multiagency / professional team
• Experience of business administration
• Keyboard skills and an aptitude to use IT systems including knowledge of Microsoft office software packages
• Demonstrate polite and effective communication skills
• Good telephone manner
• Ability to multi-task and deal with non-routine situations
• Ability to communicate effectively at all levels
• Experience of dealing with people in sensitive / confrontational situations
• Willing to work in other areas of the Trust or Trust-wide as and when required to do so.
