Administrator - North East Essex

Job Introduction

As an Administrator within the North East Essex Community Paediatric Service (NEECPS) , you will join a team who are focused on delivering impeccable customer service to our staff and service users and strive for continuous improvement through the use of technology and innovation to really make our service users and staff feel the difference.

You will play a crucial role in supporting day-to-day operations and ensuring the smooth functioning of our office.

The operational base for this role will be Lanswood Park, Essex. The role will require a small amount of travelling to and working from our other delivery hubs or offices in North Essex.

We will allow the flexibility to work from home when pre agreed with line management. 

Main Responsibility

  • First point of contact for NEECPS ensuring all calls and emails are dealt with as appropriate, signposting where necessary
  • Logging all information onto SystmOne, including appointments, referrals, post, telephone information, contact details, maintaining a high level of accuracy and tact.
  • To respond to and deal with a variety of often complex booking requests in a timely manner, whether by telephone, email or in person. May involve coordinating with other services and outside agencies
  • Liaise closely with parents and guardians of patients for all correspondence, appointments, information and with those who Do Not Attend (DNA)
  • Provide comprehensive administrative support to all NEECPS services, including sending appointment letters, text reminders, reports, letters and resources, scanning documents to records in a timely manner, liaising with clinicians and Essex Child and Family Wellbeing Services administrative colleagues where appropriate
  • Registering and processing new referrals with referrals for all NEECPS services • Managing waitlists, booking appointments for speciality clinics, dealing with cancellations and rebooking to ensure full clinics being mindful of the 18-week Referral to Treatment (RTT) pathway
  • Liaising with parents and outside agencies to obtain information
  • To answer telephones, respond to email enquiries and communicate with all clients in a polite yet efficient manner.
  • Assist in providing full training where needed to newer members of staff relating to the processes of SPOC such as referrals, appointments, system processes and all other aspects of the role
  • Liaise where needed with various clinicians and other Essex Child and Family Wellbeing Colleagues

The Ideal Candidate

Essential

  • GCSE English and Maths, Grade C and above, or equivalent qualification Experience within an administrative role or experience of working in a customer service environment
  • Excellent communication and interpersonal skills, both verbally and written to all levels both internally and externally
  • Effectively prioritises and coordinates own work alongside work of others
  • Standard keyboard skills
  • Ability to use Microsoft Office packages
  • Work flexibly as part of a proactive team
  • Excellent time management skills
  • Ability to use initiative without close supervision
  • Good organisational and planning skills
  • Understanding of good customer care
  • Self-motivated • Ability to remain calm in a busy environment
  • Reliable Desirable
  • NVQ 3 or equivalent experience
  • Experience of working within Children’s Services or in an NHS environment
  • Experience of using SystmOne
  • Understanding of safeguarding principle
