Facilities Supervisor - Soft Services

The Facilities Supervisor plays a key role in the day‑to‑day supervision of domestic, catering, and portering teams across designated HCRG sites. The role ensures services are delivered efficiently, meet required standards, and comply with all health and safety regulations. Working closely with the Facilities Management team, the postholder helps maintain a clean, safe, and welcoming environment for patients, staff, and visitors.

Main Responsibilities

Team Supervision & Operational Support

  • Act as a hands‑on working supervisor, supporting daily domestic, catering, and portering duties.
  • Coordinate and oversee the day‑to‑day activities of Soft Services teams.
  • Deliver daily briefings, communicate priorities, and adjust workloads to meet service needs.
  • Provide coaching, guidance, and support to staff, ensuring adherence to protocols.
  • Monitor performance and escalate issues to the Facilities Manager – Soft Services.

Service Delivery

  • Help deliver high‑quality cleaning, catering, and portering services across wards and facilities.
  • Reallocate staff and arrange additional tasks (e.g., deep cleans) when required.
  • Work with clinical and non‑clinical teams to respond to operational needs.
  • Monitor service standards and report concerns promptly.

Training & Development

  • Support staff induction, on‑the‑job training, and competency assessments.
  • Promote continuous development through coaching and hands‑on mentoring.

HR‑Related Duties

  • Conduct Return to Work meetings and informal discussions in line with policy.
  • Contribute to appraisals by providing feedback and recording progress.
  • Escalate formal performance or attendance concerns to management.

Health, Safety & Compliance

  • Ensure compliance with Health & Safety, COSHH, infection prevention, and NHS cleaning standards.
  • Complete routine audits and report non‑compliance or risks.
  • Report maintenance or safety issues promptly.

Communication & Liaison

  • Serve as the first point of contact for operational queries within the team.
  • Work with the Facilities Manager – Soft Services to resolve escalated operational or HR matters.

Resources & Equipment

  • Monitor stock levels, check deliveries, and report discrepancies.
  • Ensure correct and efficient use of materials and equipment.
  • Support operational planning within available resources.

 

Essential Criteria

  • Relevant experience in a similar environment
  • Basic Food Hygiene Certificate
  • Ability to work under pressure and manage multiple priorities
  • Strong commitment to high standards of cleanliness and service
  • Flexible and adaptable approach to work
  • Ability to travel between sites as required
  • Willingness to work flexible hours, including weekends and bank holidays
  • Full, clean UK driving licence

Desirable Criteria

  • Food Hygiene Level 3
  • Experience working within the NHS or similar public sector setting
  • Understanding of NHS facilities management policies and procedures
  • Ability to use facilities management systems
  • Proactive approach to identifying service improvements

Skills & Qualities

  • Proven supervisory experience within soft services in a healthcare or similar environment
  • Experience in rota planning and staff coordination
  • Knowledge of NHS National Standards of Healthcare Cleanliness
  • Understanding of COSHH and infection control procedures
  • Strong leadership, communication, and interpersonal skills
  • Confident using Microsoft Office applications
