Community Team Administrator
Position: 30 hours per week, Monday – Friday, Location: Melksham Community Hospital, Hours: Our Core hours are 08:30 – 16:30
Our Melksham Community Team is a dynamic group of Nurses and Therapists who provide essential care to people in their own homes, ensuring those who are unable to attend a clinic or GP surgery receive the support they need. Working seven days a week, 7 AM – 10 PM, we are committed to making a difference in the community.
As our Community Team Administrator, you’ll play a vital role in keeping everything running smoothly! You will provide high-quality administrative support to our Team Leader, Nurses, and Therapists, ensuring efficient operations and excellent patient care.

- Offer vital administrative support to the team
- Assist with scheduling and coordination of clinical visits
- Be the backbone of our busy and dedicated community team
- Work closely with healthcare professionals to support patient care

Main Responsibility
• Receive and process referrals from referral centre via patient care system and email.
• Data input information onto patient administrative system.
• Maintain filing systems for: electronic files; paper files; personal files; team notice board; patient records and archive filing.
• Receive team’s monthly claim forms and check that all signed before passing to Team Leader for signing, as required. Update data base with staff sickness, annual leave, training etc.
• Maintain and update the Team’s lone working data base, communicating updates to senior staff and updating the on-call manager shared drive.
• Set up and maintain systems to collate information and reports regarding team and staff activity for management purposes and ensure that information and records are updated and maintained.
• Check documents for CRB checks and complete CRB paperwork.
• Check invoices and prepare for Team Leader to authorise.
• Check all annual leave requests before passing to Team Leader for authorising. Incorporate details in the team’s annual leave chart on authorisation.

The Ideal Candidate
• IM&T literate
• RSA II or equivalent in typing/word processing
• Regular use of Databases, Word processing packages, spread sheets
• Word, Excel
• To have worked previously in a medical, health or social care environment
• Knowledge of data protection and confidentiality
• Knowledge of databases and spreadsheets
• Type to 40 wpm
• Interpersonal
• Flexible
• Efficient, courteous telephone manner
• Calm in a pressured environment
• Ability to prioritise workload
• Good communicator
• Calm and approachable
• Able to work within a multi-disciplinary team
• Able to work unsupervised
