Job Introduction
We are seeking a motivated and organised individual to join our Bury Sexual Health Service as an Administrator.
In this role, you will provide comprehensive administrative support to various service areas, ensuring the smooth and efficient operation of the team. You will communicate professionally and effectively with both colleagues and service users, contributing directly to the team's success.
After receiving full training, you will use computer systems to accurately capture, update, and verify essential data, and manage databases, with occasional manual data collection when required.
The role involves handling telephone inquiries, managing your own workload within set guidelines, and using discretion and initiative to address queries or direct them to the appropriate departments.
This is a full time position working 37.5 hours across the week at our Bury Sexual Health Service.
Main Responsibility
- Handling high volumes of telephone calls and providing excellent customer service when booking appointments and responding to inquiries.
- Prioritising urgent referrals and directing patients to the appropriate services following established protocols.
- Managing and processing confidential patient information accurately, including data input and maintaining secure records.
- Regularly using databases and IT tools (e.g., Word, Excel, Outlook) to produce documents and manage patient information.
- Supporting the Administration Manager in maintaining operational efficiency, including managing waiting lists and monitoring mailboxes.

The Ideal Candidate
- Proven experience in administration and handling telephone inquiries professionally and efficiently.
- Strong working knowledge of hospital IT systems.
- Excellent customer care and interpersonal skills.
- Ability to communicate clearly and effectively, both over the phone and in writing, with colleagues and external contacts.
- Ability to work independently and as part of a team, using initiative to manage and prioritise workload.
- Strong organizational skills to consistently meet agreed targets.
